This Privacy Policy explains how Brains Media Solutions Private Limited (“BMS”, “we”, “us”) collects, uses and protects personal data when you visit brainsmediasolutions.com or contact us.

2. What we collect

Details you give us: when you fill in our contact or enquiry forms, call, email or message us on WhatsApp: your name, email address, phone number, company or brand name, the service you are interested in and your message.
Usage data: pages visited, time on site, device and browser type, approximate location (city level) and how you reached our site, collected through cookies and similar tools described below.

We do not ask for, and ask you not to send us, payment card details, government ID numbers or other sensitive personal data through the website.

3. Why we use it

Name, email and phone number: to reply to your enquiry by email, phone or WhatsApp, and to send proposals or quotes you ask for
Company name, service of interest and message: to understand what you need and prepare the right proposal
Client contact and billing details: to deliver the services you have engaged us for, and to issue invoices
Usage data: to see which pages visitors find useful so we can fix or improve them
Ad click and conversion data: to know which of our Google and Meta ads lead to enquiries, so we stop paying for ads that don’t
Invoices and payment records: to meet tax and accounting law

We use your contact details only for the purpose you gave them. You can ask us to stop contacting you at any time.

4. Cookies and tracking tools

Google Analytics: to measure website visits and form submissions
Google Ads conversion tracking: to measure which Google ads lead to enquiries
Meta Pixel: to measure which Facebook and Instagram ads lead to enquiries
Essential cookies: needed for the website and its forms to work

You can block or delete cookies in your browser settings. Some parts of the site may not work fully if you do.

5. Who we share data with

We do not sell your personal data. We share it only with service providers who help us run our business, under their own privacy and security terms:

Hostinger (website hosting; form enquiries are stored on our website’s server)
Zoho (business email)
Google (Analytics, Ads, Search Console)
Meta (Facebook and Instagram advertising, and WhatsApp when you message us there)
Our accountants and legal advisers, where needed

We may also share data if required by law or by a government authority.

6. How long we keep it

We keep each type of data only as long as we need it:

Enquiries that do not become projects: 24 months after our last contact with you, then deleted
Client records, contracts and invoices: 8 years, as required by Indian tax and company law
Marketing contacts (if you sign up for updates): until you unsubscribe
Google Analytics usage data: 14 months
Ad data held by Google and Meta: as set by those platforms’ own retention policies

After these periods we delete or anonymise the data.

7. How we protect it

We use secure (HTTPS) connections, spam protection on forms, access controls and regular backups. No system is completely secure, but we take reasonable steps to protect your data.

8. Your rights

Under India’s Digital Personal Data Protection Act, 2023, you may ask us to:

Tell you what personal data we hold about you
Correct or update it
Delete it, where we are not legally required to keep it
Withdraw consent you have given, for example to receive messages from us
